Mobile Application Privacy Policy – Additional Provisions
Last updated: 9 October 2026
The following provisions supplement the existing Privacy Policy of Pristine Cleaning Collective Limited and apply specifically to users of the Pristine Cleaning Collective mobile application (the “PCC App”).
These provisions should be read alongside our general Privacy Policy, available at https://pristinecleaningcollective.com/privacy-policy.
1. Information Collected Through the Mobile Application
The PCC App supports cleaning bookings, property management, cleaning operations and communication between authorised users.
Depending on your role and how you use the application, we may collect and process:
* Account information: Names, email addresses, telephone numbers, account identifiers, login credentials and user roles.
* Property information: Property addresses, access instructions, cleaning requirements, property-specific checklists and special requests.
* Booking information: Cleaning appointments, assigned operatives, service types, booking statuses and relevant customer instructions.
* Cleaning records: Completed checklists, job notes, timestamps, cleaning durations and service completion reports.
* Photographs: Before-and-after cleaning photographs and images documenting property conditions, maintenance concerns or cleaning requirements.
* Location information: GPS location information collected at specific job-related events, as explained below.
* Technical information: Information reasonably necessary for application functionality, security, troubleshooting and account administration.
We collect this information directly from users, through their use of the application, or from authorised property managers and clients.
2. Cleaner GPS Location Verification
The PCC App uses location services to verify the attendance of cleaning operatives at assigned properties.
Location verification is used when a cleaner:
* Confirms arrival at an assigned property.
* Starts a scheduled cleaning job.
* Completes a cleaning job.
Location information may be compared against the assigned property’s location to confirm that the operative is physically present.
The PCC App does not continuously track cleaners’ movements or monitor their location throughout the working day.
Location verification is intended to support accurate attendance records, service accountability, job management and operational security.
Where applicable, the application will request device location permission. Users can manage location permissions through their device settings.
Disabling location access may prevent certain location-dependent features from functioning, including starting or completing assigned cleaning jobs.
Location information will be accessible only to authorised personnel who require it for legitimate operational purposes.
3. Cleaning Photographs and Digital Checklists
The PCC App enables cleaning operatives to upload photographs and complete digital checklists associated with assigned properties.
Photographs may be required before and after a cleaning service to:
* Document property conditions.
* Demonstrate work completed.
* Support quality assurance.
* Identify maintenance issues or damage.
* Resolve service-related queries or disputes.
* Provide clients with cleaning completion reports.
Photographs and checklist records may be shared with authorised clients, property managers and relevant PCC personnel.
We expect users to avoid unnecessarily photographing individuals, confidential documents, financial information or other unrelated personal information.
Photographs and associated records are retained only for as long as necessary for the relevant operational, contractual or legal purposes.
4. Cleaner and Staff Information
For cleaners and other authorised personnel, the PCC App may process information relating to:
* Assigned and completed jobs.
* Attendance and job completion timestamps.
* Location verification events.
* Cleaning performance and checklist completion.
* Job-related photographs and notes.
* Work schedules and operational communications.
This information may be used for scheduling, service quality assurance, attendance verification, operational management, investigating complaints and maintaining accurate business records.
Information may be reviewed by authorised management personnel.
PCC aims to ensure that staff monitoring is proportionate, transparent and limited to legitimate business purposes.
5. Data Hosting and Third-Party Service Providers
The PCC App is developed and hosted using Emergent, a third-party application development and hosting platform.
Information submitted through the application, including account information, property details, cleaning records and uploaded photographs, is stored and processed through the application’s hosting infrastructure.
Pristine Cleaning Collective remains responsible for determining the purposes for which personal information is processed.
We may use authorised technology and service providers to support hosting, data storage, application functionality, maintenance and security.
We require appropriate contractual and technical safeguards from service providers processing personal information on our behalf.
Where personal information is transferred internationally, we will ensure that appropriate safeguards are in place as required by applicable data protection legislation.
6. Lawful Basis for Processing Personal Information
Where UK GDPR applies, we process personal information only where an appropriate lawful basis exists.
Depending on the circumstances, these may include:
Contractual necessity: To provide cleaning services, manage bookings, administer accounts and fulfil contractual obligations.
Legitimate interests: To manage cleaning operations, verify attendance, maintain service standards, protect property, investigate complaints and ensure operational accountability, where those interests are not overridden by individuals’ rights and freedoms.
Legal obligations: To maintain records or disclose information where required by applicable law.
Consent: Where consent is required for a particular processing activity.
The lawful basis applicable to each activity depends on the nature and purpose of the processing.
7. Information Sharing and Access Controls
Personal information collected through the PCC App may be accessible to:
* Authorised PCC management and administrative personnel.
* Cleaning operatives assigned to relevant properties.
* Clients and property managers authorised to view relevant cleaning records.
* Technology and hosting providers supporting application functionality.
* Professional advisers, regulators or public authorities where disclosure is legally required.
Access should be limited according to user roles and operational requirements.
We do not sell personal information to advertisers or data brokers.
8. Data Retention and Deletion
We retain personal information only for as long as reasonably necessary to fulfil the purposes for which it was collected, including service delivery, operational management, contractual obligations, dispute resolution and compliance with applicable law.
Different categories of information may require different retention periods.
Records that are no longer required will be securely deleted or anonymised, subject to applicable legal requirements.
Users may request information about applicable retention periods by contacting us.
9. Account Deletion and User Requests
Users may request deletion of their PCC App account and associated personal information, subject to applicable legal obligations.
Where account deletion functionality is available within the application, users may initiate the process through the relevant account settings.
Users may also contact:
info@pristinecleaningcollective.com
Requests will be assessed and processed in accordance with applicable data protection legislation.
Certain information may need to be retained where necessary to comply with legal obligations, establish or defend legal claims, or maintain records that PCC is legally required to preserve.
Where information must be retained, access will be restricted appropriately.
10. Data Security
Pristine Cleaning Collective takes reasonable organisational and technical measures to protect personal information processed through the PCC App.
These measures may include authenticated access, role-based permissions, restricted access to operational records and security controls provided by our technology service providers.
Users are responsible for protecting their login credentials and reporting suspected unauthorised access.
Although we take reasonable precautions, no electronic storage or transmission system can be guaranteed to be completely secure.
11. Your Data Protection Rights
Subject to applicable law, users may have the right to:
* Request access to their personal information.
* Request correction of inaccurate information.
* Request deletion of personal information.
* Request restriction of certain processing activities.
* Object to processing based on legitimate interests.
* Request data portability where applicable.
* Withdraw consent where processing relies on consent.
Requests can be submitted to info@pristinecleaningcollective.com.
Individuals also have the right to raise concerns with the UK Information Commissioner’s Office (ICO) at https://ico.org.uk.
12. Updates to This Policy
Pristine Cleaning Collective may update these provisions to reflect changes to the PCC App, its functionality, our operational practices or applicable legal requirements.
The latest version will be made available through our website and, where applicable, within the mobile application.
